CLUB SECRETARY
Role and Responsibilities
Your primary role as club secretary is to help the club function effectively. As club secretary, you receive information from the board, club committees, club members, Assistant Governor, the District Governor, your Rotary International, and The Rotary Foundation of RI. It is important to monitor trends in club activities to help identify the club’s strengths and weakness and communicte tis information to your fellow club and district leaders for further action. As club secretaryyou are responsible for;
- Maintaining membership records.
- Recording attendance at meetings, and reporting monthly attendance figures to the District Governor before 15th of next month.
- Sending out notices of meetings of the club, board, and committees.
- Recording and maintaining minuts of club, board, and committee meetings.
- Making required reports to RI including
- Semi annual reports of membership (due on 1st July and 1st January).
- Report on new members inducted into the club.
(Changes in membership should be submitted to RI General Secretary.)
- Collect and remit to RI / Rotary News Trust – subscriptions to THE ROTARIAN and / or Rotary News.
- Collect and remit any other dues as required from time to time.
- Assisting president with arrangements of weekly meetings, board meetings, club assemblies etc.
- Assist President for preparations for District Governor’s official visit and selection of club officers for next year and annual report.
- Handing over all pertinent records to incoming Secretary.
- Working with other club Leaders.
- Performing any other duties that usually pertain to the office of secretary.
To further prepare for your role, attend the secretary training sessions at PETS and District Training Assembly.
