ASSISTANT GOVERNOR
The office of Assistant Governor was created in 1996 as a key element of the District Leadership Plan, the organisational structure for all District that was adopted by the RI Board in an effort to help district governors support there clubs better. Assistant Governors are appointed by the District Governor to assist in the administration of assigned clubs. The Assistant Governor serves as an important resource for both the clubs and the District Governor, helping to ensure that everything runs more smoothly with in the district. In short he is liason officer between the Rotary Club and the District Governor.
Functional responsibilities
Before 1st July:
- Attend the Assistant Governor Training Seminar. Attend the PETs, District Training Assembly and District Team Training Seminar.
- Meet and assist the incoming President of the clubs in his/ her allocated/ assigned area and discuss the club’s goals and review the summary of club plans and objectives.
- Advise DGE on District/ Zonal Committee selection.
- Help Presidents at PETs and assist in establishing goals for planning Guide for effective Rotary Clubs.
- Study manual of procedure and get familier with Rotary Club Administration.
During the year in Office:
- Visit each club in his/ her assigned area regularly with a minimum of one visit each quarter of the Rotary year.
- Represent the District Governor at the Club assembly to be held prior to the Dg’s Official visit in the club.
- Update the Governor on the progress within the assigned club and suggest ways to enhance Rotary development and help solve problems.
- Encourage Clubs to follow through on the requests and recommendations made by the Governor.
- Attend and actively promote attendance at the District Conference and other District Meetings.
- Participate in the Rotary foundations programs. Annual and Special giving and other special assignment as may be necessary. Monitor each club’s performance with respect to service project.
- Assist club leaders in planning Governor’s official Visit.
- Co-ordinate training at the club level with appropriate District Committee.
- Identify and encourage future District Leaders.
- Co-ordinate activities smoothly with the GGR’s of the region to avoid overlapping of functions.
Role of Governor’s Group Representatives (GGR)
- Fuction of an effective link between Clubs assigned to them and the District administration through Asst. Governor.
- Weaker clubs will need special attention from the GGR’s with close follow up of the major activities.
- Help to formulate club plan and objectives, Membership increases extension and major projects for each club.
- Assist Clubs in obtaining speakers.
- Guide in prepairing a budget at the beginning of the year and in submitting audited accounts of the previous year.
- Ensure participation of incoming officers under them in, PETS and District Assembly, Governor’s installation etc.
- Promote District Conference and other District events from time to time and ensure participation.
- Ensure that Clubs do not default any statutory dues to RI District like semi annual R.I dues, District fund, R.I Publications etc.
- Help clubs to plan for the Governor’s visit and to prepare the background papers/ reports and summary of Clubs plans & objectives for the visit. Be present throughout the Governor’s official visit t the clubs in their groups.
- Motivate the clubs to achieve targets under all avenues of service.
- Make informal visits regularly to each club apart from club functions, Governor’s visit etc.
- Keep club posted with all important developments in Rotary and about, district regional/ group events.
- Hold periodical sessions (quarterly) with club leaders to review activities and report the same to the Governor.
- Effectively co-ordinate all Rotary matters in the overall interest of the District and respond promptly to any emergency request from the Assistant Governor/ District Governor.
- Ensure that clubs send monthly attendance report and activities report before the due date.
- Ensure that all new members receive proper orientation and training before joining.
- Ensure that every club maintains the club history records properly.
- Ensure that clubs are free of internal problems and settle them, if any, amicably then ad there.
- Report promptly to Governor or any club which does not meet regularly and consequently, GGR’s should follow up such cases, take corrective steps and report to the Asst. Governor/ Governor, as the case may be.
- Encourage interaction and co-operation with other service organisation in his area.
